E-mail Management at a glance

Overview of user accounts

Your mail account administration is controlled by your Domain Manager, but can be delegated - if you wish - to an appointed Service Manager.
After login, a list of current accounts ('users') is displayed. You can choose to edit the user data, add new users or delete users.
Adding new users

There are no specific limits to the number of users. You can determine yourself the names of the mail addresses - with automatic extension of your domain name - and the corresponding passwords.

Editing user data

Passwords and other user settings can be modified at any time.
Aliasses

An unlimited number of 'aliasses' can be added to each email account. It provides you, amongst others, with the possibility to arrange that mail with frequent address errors will come in at the right account after all.
You can as well enter nicknames or functions: all messages to the alias addresses will come in at the email account concerned.

Forwarding mail

The 'forward' option provides you the possibility to automatically distribute incoming mail to other mail addresses, with or without keeping a copy in the mailbox concerned.
A clever option in case of changes in staff and illness.
Automatic replies

You can edit an 'auto reply text'. The text is automatically sent as reply to incoming mail messages.
People may welcome such a reply if you are absent for a longer time.

Status of actions

The Qwido programme automatically reports whether data are added or changed successfully, in the 'status bar'.
When successful, the notifications are colored green. When the submitted data are rejected by the programme, the color of the status bar will turn red and indications are given how to fix the problem.
Account status and user login

The Domain Manager and Service Manager can temporarily block mail accounts, when necessary.
They can as well determine whether users are authorised to to maintain their personal settings themselves.

User options

When authorised, users can login to Qwido with their personal user name and password.
All they will see are their personal settings. They can change the password and control the mail forward and auto reply settings.
Catchall

With the mail account (or alias) 'catchall' you can catch all mail directed to your domain for which no user address exists (such as mail to mis-spelled addresses).
Unfortunately, using the 'catchall' is nowadays rather counterproductive: large quantities of spam will end up in the mailbox.

Unit accounts

A handy tool for organisations is creating 'unit accounts': a common e-mail address for a certain unit within the organisation. The 'forward' option provides you the possibility to automatically distribute the mail to all persons belonging to that unit.
